Oral Presentation

  1. Presentation time
    • 20 minutes for each oral presentation in technical sessions, 35 minutes for each plenary talk, all followed by a 5-min Q&A session. Due to the tight schedule of the conference, the time will be strictly restricted.
    • Presenters should meet their session chairs at least 15 minutes before the sessions starts and be seated at the “Next Speaker’s seat” located in the front row. Please contact the registration desk in case you need assistance.
  2. Presentation file
    • A slide size of 16:9 is preferred and highly recommended, although a size of 4:3 is also acceptable.
    • The file should be displayed with the on-site laptop (OS: Window 10 with the latest Microsoft Office PowerPoint software) provided by the conference. Presenters are highly recommended to test the compatibility of their files in advance.
    • Presenters can copy the file to the laptop using a USB drive 15 minutes before the session starts. USB drives can be borrowed from the registration desk. On-site testing before the presentation day could be arranged upon individual requests but is subject to availability. Please inquire at the registration desk.

  3. Presentation stage and facility
    • The Shaw Auditorium will be operated in the Theatre Mode. Presenters may view the photos below or take a virtual tour for reference. Slightly different from the photos, a podium will be set up on the stage for presenters.
    • The projector in use is Panasonic PT RQ35K with 4K resolution.
    • A digital laser pointer will be provided on the podium. Presenters can get familiar with its function 15-min before their session.

Poster Presentation

  • The poster size should not be larger than A0 (maximum height: 1189 mm; maximum width: 841 mm).
  • Posters should be displayed on corresponding poster boards (assigned with paper ID) using pushpins (available at the foyer of Shaw Auditorium).
  • Posters should be set up by the presenters two hours before the corresponding session starts. Poster boards will be available after 12:30pm of the day.
  • Presenters are expected to be in front of their posters throughout the session to answer questions.
  • Posters should be removed by the presenters after the session. Pushpins should be returned to the counter for safety.

Submissions:

  • ALL submissions must be made on-line from this web site.
  • Email submissions will NOT be accepted.
  • If you are making multiple submissions, you only need to create one web account. Use the same account (User name & Password) for any additional submissions.
  • If you need to edit any author information or resubmit your abstract, it may be done up until the submission deadline.

Abstract Specifications:

Use our templates to meet formatting requirements below. Your abstract must comply with the following specifications:

  • Abstract Length: 1 page of text (max. 500 words) and 1-2 pages of supporting material, as per the template
  • Abstract Size: A4 (210mm X 297mm)
  • Fonts: Embed ALL fonts in your PDF file. Avoid the use of Type 3 fonts.
  • File Format: Adobe PDF (.pdf)
  • Allowed File Size: 5.0MB
  • Do NOT page number your abstract
  • Do NOT apply security settings to your PDF file.
  • Note: Deviations from the above abstract specifications could impede the review of your abstract and result in rejection.

Additional Requirements:

If your abstract is accepted for publication at this conference, you will also need to adhere to the following requirements:

  • IEEE policy requires you to file a copyright release for each accepted submission. Without a copyright release on file, your paper CANNOT be published. Further instructions will be included in your decision email.
  • REMINDER: At least one author per accepted submission must be registered AND attend the conference to present their paper.
  • IEEE reserves the right to exclude any accepted paper from distribution after the conference (including, removal from IEEE Xplore) if the accepted paper is not presented at the conference.
